1. Who this policy covers This policy explains how the NSW Medical Students’ Council (NSWMSC) handles personal information collected through the NSWMSC Internship Swap Directory.
2. What we collect
- Listing information: the Network/RPR allocation you hold, the allocation(s) you want, your residency category, and a contact email and/or phone number.
- Contact relay messages: if you request contact with another user, we collect your name and the contact detail you provide, solely to relay your message to that user by email.
- Reports: if you submit a report, we collect the details you provide about the incident, any information you give about the person you’re reporting, and your own name and contact details.
- Technical information: standard web server logs, and information processed by Google reCAPTCHA to help us tell humans from bots (see section 6).
3. How we use it We use this information only to operate the swap directory: to display your listing’s Network/category information (never your contact details) to other users, to relay contact requests by email, to review and act on reports, and to keep the site secure.
4. Who we share it with We do not sell your information. We may share it with:
- HETI, where a report indicates a possible breach of HETI’s guidelines or the NSW Health Code of Conduct, or where you’ve asked us to;
- law enforcement or regulators, where we’re legally required to;
- service providers who help us run the site (e.g. our hosting provider and Google reCAPTCHA), solely to provide that service.
5. How long we keep it Listings are automatically removed 14 days after posting. Reports and the information in them are kept longer, for accountability, in case HETI or another body needs to follow up.
6. Google reCAPTCHA This site uses Google reCAPTCHA to help prevent spam and automated abuse. reCAPTCHA may collect hardware and software information (such as device and application data) and send it to Google for analysis. Use of reCAPTCHA is subject to Google’s own Privacy Policy and Terms of Service.
7. Security We take reasonable steps to protect the information you provide, including never displaying contact details publicly and storing them against listings that aren’t publicly browsable pages. No online system is completely secure, and we can’t guarantee absolute security.
8. Your rights You can ask us what information we hold about you, ask us to correct it, or ask us to delete a listing, by contacting chair@nswmsc.org.au.
9. Changes We may update this policy from time to time; the “last drafted” date above will change when we do.
